Drops/Withdrawals
from Courses
All
California State University regulations relating to drops and withdrawals
from academic classes and for refunds of course fees apply to the
HUX program. Please read and follow the instructions below carefully
if you need to drop a course. Note that the time frames mentioned
below refer to the date on which your written drop request
is received by the HUX office (weeks 1-3) or the course
instructor (weeks 4-15).
Summary
of Withdrawal Rules Below
- Weeks
1-3: Send written request to Lisa Ayres in HUX
- Weeks
4-12: Send completed official Drop form to each instructor indicating
a "serious and compelling reason"
- Weeks
13-15: Send completed official Drop form to each instructor along
with documentation
of a "serious accident or illness"
Withdrawal
in Weeks 1-3 of the Term
During this period you may drop a course by sending a written request
to Lisa Ayres (send it via email to layres@csudh.edu)
in the HUX office. At this point in the term you do not have to
use an official Drop form. Indicate your name, ID number, and course
number and section you wish to drop. In addition, please notify
the instructor of your drop. Important: your written
drop request (via email or regular mail) must be in the HUX office
before the start of the fourth week of the term or you will be required
to follow the procedures below.
You
may be eligible for a partial refund of course fees if you drop
before week 4. See Refunds of Fees.
Withdrawal
in Weeks 4-12 of the Term
During this period you may drop a course if you indicate a “serious
and compelling reason” for the withdrawal and obtain the permission
of the instructor. Begin the process by contacting the instructor
directly to request a withdrawal. Do not contact Lisa Ayres as indicated
in the section above unless you don’t have contact information
for your instructor or haven’t received a response within
a week. Indicate your name, ID number, and course number and section
you wish to drop. Explain the reason, which should be clearly “serious
and compelling.” Please note that the university does not
consider dissatisfaction with the course or a grade you received
to be serious and compelling for purposes of course withdrawal.
The instructor may choose not to grant your request. If the instructor
gives you approval to drop the course, you will need to send him
or her a signed Drop form with your written explanation. You can
obtain a Change of Program, Drop/Add form by clicking
here
or by requesting one from Lisa Ayres (310-243-3743; layres@csudh.edu).
If the drop is allowed, your academic record will show a “W”
(no impact on GPA) for courses dropped during this period.
Withdrawal
in Weeks 13-15 of the Term
During this period, California State University regulations state
that a student’s withdrawal from a course can be approved
only if the reason is a “serious accident
or illness.” During this period a request to withdraw from
a course must be accompanied by documentation, such as medical verification
supporting circumstances clearly beyond your control which necessitate
a withdrawal. Begin the process by contacting the instructor directly
to request a withdrawal.
Do
not contact Lisa Ayres as indicated in the first section unless
you don’t have contact information for your instructor or
are unable to reach him or her. Indicate your name, ID number, and
the course number and section you wish to drop. Explain the reason.
From
this point on we need to handle the Drop process differently than
in weeks 4-12, due to the short time frame and the fact that some
of our instructors do not live near the CSUDH campus. Once you receive
the instructor’s approval to drop, ask him or her to notify
the HUX office of his or her approval of your drop. Ask him or her
to send to the HUX office ASAP your signed and completed Drop form
and accompanying documentation.
After Week 15
No drops are allowed after week 15. A student who does not officially
withdraw by following the instructions above will receive an F or
WU (same impact on the GPA as an F) grade for the course.
